Camp Secretary

Minimum Qualifications:

  1. Must be at least 18 years of age.
  2. Good typing skills and basic office knowledge.
  3. General knowledge of routine office equipment and WordPerfect software.
  4. Ability to work with cash accurately and quickly.
  5. Ability to communicate well with people, in person, on the telephone and in writing.
  6. Good writing and spelling ability.
  7. Ability to use good judgment and work without supervision.
  8. The Camp Secretary must live in housing provided by I.R.R.R., Inc. during the camp session at the Meadowood Springs Speech and Hearing Camp.

Responsibilities:

The individual who fills this position will become an employee of I.R.R.R., Inc. sponsors of Meadowood Springs Speech and Hearing Camp. He/She shall be responsible to their direct supervisors and the Board of Directors of I.R.R.R., Inc. It shall be understood that the employee has a duty to see that the policies of I.R.R.R., Inc. are maintained as they relate to the employee’s area of responsibility.

  1. Perform secretarial duties for the Clinical Director and the Camp Staff Manager as directed (i.e. preparation of schedules, charts, clinical reports, typing and copying for staff, etc.). Also, any typing Student Clinicians or staff need prepared.

    Check-In Day

  2. Make sure parents have completed ALL of the application/acceptance forms, including releases.
  3. Make sure parents have Health History and Physical Examination forms for camp nurse.
  4. Make sure the camper’s file has a photograph of the camper. If not, take a picture.
  5. Make sure that each qualifying parent fills out, signs and dates a USDA food form.
  6. Receive and receipt all incoming monies, including insurance, store and unpaid balances.
  7. Balance the monies and checks to the receipts. Turn into Corporate Office.

    Miscellaneous Duties

  8. Assist the Corporate Executive Administrator as requested (gather information from staff to complete files and payroll).
  9. Sort and deliver incoming mail daily.
  10. Keep office clean and professional looking, including sweeping and trash removal.
  11. Responsible for daily meal attendance records. Must be present at every meal to fill out USDA food meal attendance forms.
  12. Be available as the on-site representative when the USDA inspector visits the camp.
  13. Responsible for purchasing or overseeing purchases to make sure that there are only one or two authorized individuals making purchases for the camp.
  14. Maintain petty cash, reconciling receipts to monies paid out.
  15. Answer the phone and take messages. Be prepared to deal with upset parents. Keep campers’ names, addresses, disabilities, etc. confidential.
  16. Assume responsibility for the camp store. This includes handing out snacks, operate snow cone machine, help campers purchase items, return completed grid cards to Clinical Director.  Responsible for janitorial/garbage in store area. Keep a detailed account of store inventories and camper expenditures/balances. Turn into Corporate Office at the end of each session.
  17. File all final reports in camper files.
  18. Check camper files for media and sport releases. Distribute to Camp Staff Manager and Sports Leader.
  19. Make sure all receipts, reports, camper files, write-ups, purchase orders, etc. get turned into the Corporate Office after each session.

These are not the only duties to be performed. Some duties may be reassigned and other duties may be assigned as required.
